Coordinate a report around one argument

A collaborative report needs more than a collection of individually finished sections. Use one working outline to connect the team’s contributions and make differences in evidence or terminology visible before final editing.

Agree on the report’s audience and the decision it should support. Give each section a purpose within that shared argument.
Set expectations for editing and sharing. Confirm who has access before adding private or sensitive material.
Agree on the outline
Write a short description of what each section must establish. Identify where one contributor’s argument depends on another section.
Keep unresolved assumptions in the draft or comments. They should not disappear merely because a section has an assigned owner.
Connect the references
Add checked source records beside the passages that use them. Compare editions and duplicate records before combining reference lists.
Follow important claims back to the original evidence. Shared access to a source record does not replace checking the source itself.
Align terminology
Choose consistent terms for the report’s central concepts. Review whether different sections use the same word for different things.
Preserve useful differences in expertise and explanation. Consistency should clarify the argument without making every contribution sound identical.
Discuss concrete passages
Use comments to ask for a decision about a sentence, figure or source. Include the reason the issue matters to the report.
Review suggested edits with the relevant contributor before applying changes that alter meaning. Keep a record of remaining disagreements.
Check the complete document
Read the report from beginning to end for repetition, missing transitions and contradictory claims. Verify the final references and document structure.
Export the agreed version and inspect it before distribution. Confirm sharing permissions for the working draft separately from the exported file.
